A 15-minute pipeline clean-up with Claude

Find the deals that stopped moving, decide what to do with each group, and tidy the pipeline in a few plain-English requests.

Pipelines rot quietly. Deals sit in "Proposal sent" for months, the totals look healthier than they are, and nobody trusts the numbers in the Monday meeting. A clean-up is simple in principle and tedious in practice, which makes it a good job for Claude.

1. See what's stuck

Start with a question:

In Summit Roofing, show every open deal with no activity in the last 30 days, with its stage and value.

Claude searches the opportunities and gives you a list you can scan. Ask for it sorted by value if the list is long, or narrow it down:

Only the ones over $5,000.

2. Sort them into groups

Look at the list and decide what should happen. A typical split:

  • Still alive: worth a follow-up call this week.
  • Gone cold: move back to an earlier stage so they are nurtured again.
  • Lost: mark as lost, so the pipeline stops counting them.

You can tell Claude your decisions in plain words:

Move the Hartley and Oak Street deals back to Contacted. Mark the other three as lost.

Because this changes several records at once, Claude checks with you before it makes the changes.

3. Tag the ones for follow-up

For the deals still worth chasing, tag the contacts so your team can find them:

Tag the contacts on the remaining deals "follow-up-this-week".

If you already have a nurture workflow, you can ask Claude to put those contacts into it instead.

4. Fix the pipeline itself

While you're there, it's a good moment to fix stages that don't match how you really sell:

Add a "Site visit booked" stage after "Contacted".

Claude can add, rename and reorder stages, so the pipeline reflects the real process.

5. Check the result

Finish with the same question you started with:

How many open deals have had no activity in 30 days now?

If the number is close to zero, you're done. Put a reminder in your calendar to do the same next month; with Claude, it takes minutes rather than an afternoon.

Why this works

The clean-up is mostly reading and small decisions. Claude does the reading, you make the decisions, and each change is recorded in the Activity log with who asked for it, which matters when a client asks why a deal was closed.
