A checklist for onboarding a new client sub-account with Claude

From choosing the sub-account to the first workflow going live, the order we recommend for a smooth client onboarding.

A new client is exciting, and the first two weeks set the tone. Here's a practical order for setting up their GoHighLevel sub-account with Claude, so nothing important gets missed.

1. Choose the sub-account for Claude

Claude only works in sub-accounts your organisation has chosen. An admin can choose it on the platform's Sub-accounts page, or ask Claude directly:

If you're on the free trial and have already used your one trial sub-account, you'll need to pay for this one. Claude can create a payment link for you, and the platform has a Billing page. See how pricing works.

2. Look at what's already there

Many clients arrive with some setup already done. Start by reading, not changing:

In Harbor Fitness, list the pipelines, calendars, forms and workflows.

This tells you what to keep, what to rename and what to build.

3. Set up the pipeline

Match the stages to how the client really sells:

Create a pipeline called "Memberships" with stages: New enquiry, Tour booked, Trial started, Joined, Lost.

4. Set up the calendar

Create a calendar called "Gym tour": 20 minutes, weekdays 7am to 8pm and Saturday mornings.

5. Create the lead form

Create a form called "Book a free tour": name, phone, email, and "What are your goals?"

6. Connect them with a workflow

Build a workflow: when "Book a free tour" is submitted, create an opportunity in Memberships at New enquiry, tag the contact "tour-lead", and text them a link to book a tour.

Claude saves it as a draft. Check it, test it with your own details, then publish.

7. Set the custom values

Business name, phone number, address and booking link are used across templates and pages:

8. Invite your team

On the platform's Team page, add the people who will work on this client. Each person signs in to GoHighLevel from Claude with their own login, so the Activity log shows exactly who did what.

9. Review after a week

In Harbor Fitness, how many tour forms were submitted this week, and how many became booked tours?

Adjust the workflow or the form if something isn't working.

Why this order?

Reading first avoids breaking what the client already has. Pipeline, calendar and form come before the workflow, because the workflow connects them. And a review after a week catches problems before the client does.
