Most GoHighLevel agencies aren't one person. There's someone who owns the client relationship, someone who builds, someone answering the phones, and someone keeping the lights on. Here's how each of them tends to use Claude, and how one organisation keeps it tidy.
The account manager
Account managers live in reporting and follow-up. Typical requests:
How did Harbor Fitness do this week? New leads, tours booked, members joined.
Which deals in Summit Roofing have gone quiet for three weeks?
They mostly read, and occasionally tag contacts or move deals. The weekly report routine is where they save the most time.
The builder
The person who sets up accounts uses Claude to skip the clicking:
Create a pipeline for new memberships with these stages.
Build a workflow for new tour requests, as a draft.
Create a landing page from this copy.
Builders tend to make the most changes, which is why workflows are always saved as drafts and changes are recorded in the Activity log.
The front desk
The front desk works with calendars and conversations:
When's the next free consultation?
Book Priya in for Thursday at 3pm.
Who replied to yesterday's reminder texts?
Claude checks with them before sending any message, which keeps texts to patients or customers deliberate.
The ops lead or owner
The owner or ops lead is usually an admin. They:
- choose which client sub-accounts Claude works in, and pay for them;
- add and disable people on the Team page;
- decide which tools are switched on;
- look through the Activity log each week.
One organisation, many people
Everyone belongs to the same organisation, and there's no charge per person. Each person:
- signs in to the platform or Claude as themselves;
- signs in to GoHighLevel with their own login, so GoHighLevel's permissions apply;
- appears by name in the Activity log.
Members use Claude but don't sign in to the platform. Admins do both. See who can do what for the detail.
Getting started as a team
- The owner creates the organisation and starts the free trial.
- An admin chooses one active client sub-account.
- Everyone connects Claude and tries it on their own kind of work for a few days.
- The team looks at the Activity log together and decides where Claude helps most.
